Conferences, offsites, investor days, board dinners that are part of a company program, and hotel-to-venue shuttles for attendees are planned as corporate event transportation. A gala, concert, Broadway night or private reception is a special event. A ceremony and reception follow a wedding timeline.
The details differ. A corporate program usually has a host, a venue contact, a load-in door that is not the guest door, and people who are not all staying at one hotel.
Ask the venue which entrance attendees may use and whether that door changes for speakers, staff or equipment. A Javits load-in, a hotel ballroom motor court and an office-tower freight entrance are not interchangeable with the front lobby.
Group the arrivals. “Forty guests at 8 a.m.” is not a dispatch plan. Split them by hotel and by the latest acceptable arrival, then decide how many people sit in each car. If one traveler uses a wheelchair or needs the front seat, that person needs a named vehicle, not a leftover seat.
If the car only drops guests and leaves, a point-to-point quote can fit each run. Sedan point-to-point service starts at $130 and SUV service at $160. Those are starting prices, not a fare for every hotel-to-venue pair, and they are not published for the S-Class or Sprinter.

A departure wave often needs more than three hours once you include the empty positioning and the wait. Ask when the clock starts, where cars stage, and what happens if the program runs past the reserved time.
Attendees landing at different airports are different jobs. Collect the flight, terminal and hotel for each party instead of writing “arrive JFK and go to the conference.” A group that must stay together after one flight is a Sprinter question. Two colleagues on different flights may need two cars.
International arrivals need time for immigration and bags before anyone can meet a car. Do not schedule a keynote around a landing time.
