Vendor due diligence

Procurement asks four questions. Here are the answers.

Most corporate transport decisions come down to insurance, invoicing, accountability and after-hours cover. Vendors tend to be vague about all four, so we publish ours before you have to ask.

01

Are you insured, and can we see it?

Commercially insured with TLC-licensed vehicles and chauffeurs. Certificates of insurance are issued on request and sent directly to your risk or procurement contact.

02

How does billing work?

One consolidated monthly invoice, itemised by passenger, date, route and cost centre. No per-trip receipts to collect, no expense reports to reconstruct.

03

Who do we call when something goes wrong?

A named account contact during business hours and a staffed dispatch desk outside them. Not a general queue, not a ticket number, not voicemail.

04

What happens on a 5am departure or a delayed red-eye?

Flights are tracked and pickups move automatically. Overnight and holiday coverage is standard, not a surcharge tier you have to negotiate.

Sectors

Accounts we hold

Different desks need different things from a car service. These are the requirements we hear most often, by sector.

Financial services

Early departures, roadshow days, and billing split by desk or fund.

Law firms

Matter-number coding, late-night document runs, and client arrivals.

Private equity

Diligence trips, multi-stop days, and discretion around passenger names.

Consulting

Monday-out, Thursday-back airport patterns billed to a client code.

Family offices

Standing arrangements, household staff booking, and consistent chauffeurs.

Corporate travel desks

Duty-of-care records, a single invoice, and one contact who answers.

Fleet

How do we open a corporate account?

Send your billing contact, expected monthly volume and any cost-centre structure you need. Most accounts are open and bookable within two business days; there is no minimum spend and no joining fee.

Can you provide a certificate of insurance?

Yes. Certificates are issued on request and can name your entity as additional insured where your procurement policy requires it. We send them directly to your risk or vendor-management contact.

Do rates change at peak times or overnight?

Account rates are fixed by agreement and do not surge. Published rates on this page are indicative all-in estimates including tolls and gratuity; wait time beyond the included grace period is billed separately and shown on the invoice.

Who can book on our account?

Whoever you authorise — assistants, office managers, a travel desk, or the travellers themselves. Booking permissions and cost-centre defaults are set per user when the account opens.

What reporting do we get?

A monthly statement itemised by passenger, date, route and cost centre, plus trip-level records for duty-of-care purposes. Reporting can be delivered in a format that loads into your expense system.
